Job Description

We have a large volume of incoming calls which need to be answered and dealt with, not just forwarded; this is a critical part of the job.  While we do not have many walk-in visitors/guests daily, we do have some, whom you would greet and help as the first point of contact.  This position provides support to the entire organization. Some of the duties included are:

  • Answering phones
  • Handling incoming and outgoing daily packages and overnight deliveries and mail
  • Supporting the Marketing,  Accounting and Payroll departments:  spreadsheets, filing, data entry, etc.
  • Perform administrative duties including copying, scanning, filing, note taking, and updating online content (Facebook, LinkedIn and others)
  • Respond to requests for information in a timely fashion
  • Setting internal and external meetings for owners and executives, updating online calendars
  • Maintaining the kitchen/coffee area and daily light housekeeping to maintain a clean and safe working environment
  • Ordering and managing inventory of office supplies
  • Running light local errands (bank for a deposit, get lunch for the owners, etc.)

You will report to the Office Manager, and you will have the opportunity for advancement into a new position within one of our three operating divisions. We are a casual office with relaxed dress code, but a very intense environment. There’s plenty to do all day, every day.

Qualifications

  • High School diploma or equivalent education/experience
  • Minimum of 2 years of administrative support experience in a similar environment. Construction Industry is a plus
  • A friendly, strong and clear phone manner
  • Intermediate proficiency in MS Office suite including Word and Excel
  • Possess the ability to learn new computer software programs
  • Basic understanding of office technology, systems & equipment
  • High attention to detail with the ability to multitask and take initiative while adjusting to changing work priorities
  • Strong organizational skills and excellent communications skills both oral and written
  • Strong work ethic, reliability, dependability, professionalism, responsiveness and exceptional customer service
  • Ability to use good business judgment when responding to the needs of clients, both internal and external
  • Consistently demonstrates professional demeanor, appearance and attitude
